Energy Management

The Aldine district utilizes a microprocessor based energy management system. Communicating over the district’s wide area network, the system is designed to control heating and air conditioning (HVAC) and lighting systems and assist in implementing a system-wide energy management and temperature control strategy. This system also allows our control room operator to schedule, monitor, and troubleshoot systems in the field from a centrally located control room. Although many of our climate control and lighting systems are still controlled by local time clocks, more and more of the district is being upgraded to this new system.

In order to provide consistent and reliable service to schools and district patrons, we have established a procedure for ensuring that after hour events are submitted for approval, review, and scheduling. In order to ensure that air conditioning, heating, and lighting for any after hour and/or weekend event is scheduled, it is imperative that you adhere to the following guidelines.

Default Run times:
Middle & Intermediate Schools

Monday thru Friday – 6:00 AM to 5:00 PM

EC/Pre K, Elementary, 9 th Grade and High schools

Monday thru Friday – 6:00 AM to 4:30 PM

HVAC request should be submitted by the campus for any air conditioning, heating and lighting needs outside the default times for each of the above categories.

A HVAC request must be submitted for all events taking place outside the default run times. This is done by a designee of the campus using Lotus Notes. The on-line submission form has been established on Lotus Notes. There are three (3) authorized users at each district location. This completed form must be submitted five (5) business days prior to the event. When HVAC are submitted less than 3 business days prior to the event, the campus will be held responsible for any overtime required to schedule the request. This lead time will allow us to process your request and send you confirmation of its approval.

  • Upon receiving your HVAC request, Deon Samuel will review the request and forward the approved request to the Maintenance Department’s Control Room Operator. In cases where the HVAC request is not in accordance with the Energy Conservation Program those request will be disapproved and that will be communicated to the campus.
  • The Maintenance Control Room Operator will schedule the event using the district’s Energy Management System.
  • After scheduling the request into the system, a confirmation will be e-mailed to you. If you do not receive a confirmation, you can assume the event has not been approved and/or not scheduled.
  • If you do not receive a confirmation, you must contact the Maintenance Control Room Operator at 6255 before noon on the day of the event. The operator will advise you of the status of your request. Requests made after three days prior to the event will result in overtime charges to be paid by the school.
